Demo1: Automatically sorting reference entries in Microsoft Word

Rational: Microsoft Word can sort paragraphs, so if we make every reference entry into a paragraph, we can sort references automatically.

Steps:

 1. Open the file containing your references in Microsoft Word

 2. Click "View" --> Select "Show Paragraph Marks" from the drop-down menu

 3. Make sure there's a paragraph mark immediately after each entry. You can create a paragraph mark by pressing "enter". Delete extra paragraph marks.

 4. Highlight all references entries, because we only want to sort the references but not the other paragraphs in the document.

 5. Click "Table" --> Select "Sort" from the drop-down menu. A "sort text" window will show.

 6. Choose "Sort by paragraphs", "Type: Text", "Ascending".  See Figure 1:

7. Click "Ok".

 8. Paragraph marks will not the printed, but if you find them annoying on the screen, you can make them disappear by deselecting "Show Paragraph Marks".

Demo 2: Basic Use of Endnote[1]

  1. Create a library and references in Endnote

1        Open Endnote

2        Click “New Library” icon. A “New reference library” window will show.

3        Give your library a name, e.g. “demo”.

4        The library window (demo.enl) will show

5        Click “New Reference” icon.  A “New reference” window will show

6        Choose a reference type, e.g. book section.

7        Fill in necessary information

8        Click “save”, and the reference entry will show up in the library window

9        Choose a “style”, e.g. APA 5th, and the automatically formatted entry will show up in the lower half of the library window

10    Save File

  1. Cite as You Write

1        Click “View”

2        Move mouse cursor to “Toolbars”

3        Select “Endnote 8”

4        Insert “Selected citations”

5        Type the author’s last name, and other information, e.g. year of publication, will follow.

 



[1] Thomson ResearchSoft just announced that their trial version of Endnote 8 is incompatible with Microsoft XP. It crashes every time you open a library.  For the time being, they only have solution for purchased software.
