Employment Categories
All employees are at-will employees, unless their employment status is defined otherwise in a written agreement entered into by the University President or his or her designee that specifically covers their employment. Employment at the University may be terminated at the will of the employee or the University at any time and for any reason without notice or cause. No representative of the University has the authority to enter into a contrary agreement except the University President or his or her designee. Any such contrary agreement must be in writing and signed by the President or his or her designee and specifically cover your employment.
Salary, benefits, and other employment issues are based on employment category, which is assigned to each employee’s job description. Employees are first identified by paid hours of work. A full-time employee has a regularly scheduled work week of 40 hours. A part-time employee is regularly scheduled to work less than 40 hours per week. Each position is also classified as exempt or non-exempt. All positions, except faculty, are placed into one or more of the following categories: regular, academic and administrative professional (AAP), senior-level professional, temporary, term, special, or student. Here are some basic definitions of the above-mentioned classifications and categories:
Exempt Employee: This status is reserved for employees who are exempt from coverage of the minimum wage, maximum hours, and overtime provisions of the Fair Labor Standards Act (FLSA) of 1938, as amended, and the D.C. Minimum Wage Act, as amended. Exempt employees are not eligible for overtime pay.
Non-Exempt Employee: Positions that do not meet the exempt standard as defined in the FLSA are classified as non-exempt, and must therefore be paid at least the minimum wage. Moreover, any employee who is paid on an hourly basis is considered non-exempt, whether or not his or her work meets the tests for exemption. Non-exempt employees are entitled to overtime pay.
Regular: A regular employee is an individual hired into a University position that is expected to be ongoing.
Academic and Administrative Professional (AAP): An AAP is an individual hired into a position that deals directly with the intellectual substance of the curricular and research functions of the University; advises on academic matters; or is in some other manner responsible for contributing to or supplementing student life, student success, or curricular activities.
Senior-Level Executive: These individuals are hired into positions with titles including, but not limited to, executive vice president, vice president, and associate vice president.
Senior-Level Professional: Generally, these positions are graded on the salary scale at or above Level 13 or Level P, exclusive of those at the executive level.
Temporary: Individuals filling temporary positions are hired to perform special projects, cover for absent employees, or meet additional workloads. Temporary employment status may not exceed six months in any 12-month period. For temporary employees hired through Hoya Staffing, see “Special” employees below.
Term: To be considered a term employee, the individual must be hired into a University position that is expected to have a fixed duration longer than six months. Term status does not guarantee employment for the period in question.
Special: An individual is considered a special employee when he or she is hired to perform assignments on an as-needed basis. Special employees include, but are not limited to, employees who are on-call, per diem, minors, hired to work 10 or fewer hours per week, and/or hired by Hoya Staffing.
Student: Student employees are individuals who are regularly enrolled as full-time students. The individual must be assigned to a student position and is typically scheduled to work part-time during the academic year. Hiring of Georgetown University students is handled through the Student Employment Office in the Office of Student Financial Services. The Human Resources Department is responsible for employment of students who are enrolled in institutions other than Georgetown University.
